2.4 Guest ID Documents (Optional Feature)

Where a property owner enables the optional ID upload feature, guests may submit identity documents (such as passports or national ID cards) together with their name and email address. GuestIntro processes this data only as a transient relay:

• Uploaded files are written to a temporary location on our EU-hosted servers solely to attach them to an email addressed to the property owner.

• The files are deleted from our servers immediately after the email is sent (and on any upload error).

• We do not retain ID documents in our database, on our CDN, or in any persistent storage.

• Once delivered by email, the property owner becomes the data controller for those documents and is responsible for their lawful storage, retention, and deletion.

• A minimal operational log entry is kept noting that an upload occurred (property, guest name, timestamp) for auditing and troubleshooting; see Section 6 for retention.

9. Data Hosting and International Transfers

GuestIntro's application servers and database are hosted within the European Union. Personal data you provide is stored on EU-based infrastructure and processed under the EU General Data Protection Regulation (GDPR).

A limited number of sub-processors are used to deliver the service:

Stripe — payment and subscription processing (billing data only).

Bunny CDN — delivery and optimisation of property images uploaded by owners (not guest ID documents).

Resend — transactional email delivery, including ID-document notifications to property owners.

PostHog — product analytics for authenticated owner dashboards.

Where any sub-processor transfers data outside the EU/EEA, we rely on appropriate safeguards such as the European Commission's Standard Contractual Clauses.

9a. Roles Under GDPR (Controller and Processor)

GuestIntro acts as the data controller for account data belonging to property owners (name, email, billing, usage data).

For data that guests submit through a property page — including ID documents, issue reports, and feedback — GuestIntro acts as a data processor on behalf of the property owner, who is the controller of that data. Guests wishing to exercise GDPR rights in relation to their submitted data should contact the relevant property owner in the first instance; we will assist controllers in responding to such requests.

10. Children's Privacy

Our service is not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13. If we become aware that we have collected such information, we will take steps to delete it.

11. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "Last updated" date. We encourage you to review this Privacy Policy periodically.
